Power BI Desktop save to SharePoint and OneDrive: why it stopped
Starting in October 2026, Power BI Desktop versions from March 2026 or earlier can't save or share to OneDrive and SharePoint. Update, then check the account.

Power BI Desktop could save your report straight to SharePoint or OneDrive from the File menu, and now it can't, or the Share button stops you. One documented cause is a dated change. Microsoft Learn says that starting in October 2026, Power BI Desktop versions from March 2026 or earlier no longer support saving and sharing to OneDrive and SharePoint. Update Desktop first. If it still won't save, work through the other blockers Learn lists, in the order below.
- Saving to OneDrive or SharePoint from Power BI Desktop worked before October 2026 and doesn't now.
- Share shows a box titled Sharing has been disabled, telling you sharing to OneDrive is off for your organisation and to talk to your admin.
- A SharePoint library you use isn't listed when you save or open.
- Desktop asks you to save to OneDrive or SharePoint before sharing, although you opened the file from there.
Learn labels this feature's page as public preview documentation and notes that some capabilities might not be available in your tenant. Everything below follows that page as it read on 27 October 2026.
The October 2026 cutoff
Learn's integration page carries the notice in two places: starting in October 2026, Power BI Desktop versions from March 2026 or earlier no longer support saving and sharing, and to keep the save and share experience you update to the latest version, which Learn asked people to do before October 2026. The same change is listed as the deprecation of the old file picker in Learn's August 2026 "What's new in Power BI" page and in the July 2026 entry of its monthly update archive. Learn also says the new file picker has been the default since April 2026, with no way back to the old one.
Check your version. Per Microsoft's documentation, in Power BI Desktop select About on the Help ribbon and read the Version line. Learn's monthly update archive lists the March 2026 release as version 2.152.882.0 and the April 2026 release as version 2.153.910.0. The archive also notes that version numbering can differ depending on how you installed Desktop, so the fix Learn gives is the one to follow: update to the latest version.
Update. Learn gives two ways to install the latest version:
- Microsoft Store. Windows downloads new versions in the background, so it stays current, and installing doesn't need administrator rights.
- Download Center. A 64-bit installer you run yourself, which needs administrator rights on the computer. Learn notes the 32-bit version is no longer supported, and that the Store version and the old msi version can't be installed side by side.
Learn also says only the latest version of Power BI Desktop is supported. If your organisation holds Desktop at an older version on purpose, the cutoff is a reason to talk to whoever manages that, because saving to OneDrive and SharePoint won't come back on a March 2026 or earlier build.
- Step 1Desktop newer than March 2026
- Step 2Signed in with a work or school account
- Step 3The report is a .pbix file
- Step 4Same account in Desktop and in OneDrive
- Step 5Library missing: follow the site, restart Desktop
- Step 6"Sharing has been disabled": ask the admin
Check the account and the file
Learn lists these limits for saving and sharing from Desktop:
- No personal OneDrive. The features don't work with personal OneDrive accounts. Sign in to Desktop with your work or school (Microsoft Entra) account, which Learn also lists as a requirement for sharing.
- Only .pbix files. Learn says only .pbix files can be saved to OneDrive and SharePoint.
- The same account in Desktop and in OneDrive. If Desktop is signed in with one account and OneDrive on your computer with another, you can still open files from your synced folders, but they open as ordinary local files. To save back to the same OneDrive or SharePoint location, Learn says the two accounts must match. This is also why Desktop keeps asking you to save before sharing.
- The options are on. Saving and sharing are on by default, but each person can turn them off. Select File > Options and settings > Options > Preview features, check that Save to OneDrive and SharePoint and Share to OneDrive and SharePoint are both ticked, then restart Desktop. With sharing on, a Share button appears at the top right.
Two more cases from Learn's troubleshooting section. If you've signed in to Desktop with several accounts, the recent files list shows files from all of them, and a file owned by another account gives an error until you sign in with that account. And a file you dragged into a synced OneDrive or SharePoint folder behaves as a local file until it has finished syncing, so wait for the sync, then share.
To save, select File > Save as, select OneDrive, find the location, and select Save. When you save a new report for the first time, Learn says you pick the location from a list of recently visited ones, or select More options… if it isn't there. If your organisation requires a sensitivity label, you choose one before saving. A large file can take a while to upload, and Learn describes an Upload Later choice that finishes the upload when you close Desktop.
A library or folder is missing
- A SharePoint library isn't listed. Per Learn, the new file picker can't add a SharePoint site by its address. Go to the site in SharePoint in your browser and follow it, then restart Power BI Desktop; the site should then appear in the picker.
- A new folder doesn't appear. Some document libraries don't let you create folders. Learn's fix is to ask an admin for enough permission, or to save somewhere else.
For a team report, Learn recommends a SharePoint document library that every co-author can reach. Files in one person's OneDrive can't be saved to by colleagues unless they have edit access to that folder.
Sharing has been disabled
If Share shows Sharing has been disabled, an admin has turned off the tenant setting Users can share links to Power BI files stored in OneDrive and SharePoint through Power BI Desktop. Learn says it's on by default and applies to everyone in the organisation when it's on, so turning it back on is an admin decision, not something you can fix in Desktop. The setting covers sharing links from Desktop; Learn doesn't tie it to saving.
For the admin, the setting is in the integration group of the tenant settings (in Fabric, OneLake catalog > Govern > Configurations > Tenant settings). Even when it's on, Learn says your organisation's own OneDrive and SharePoint sharing rules still decide who you can share with.
Once a file is shared, the person opening the link has to sign in. Whether they can view it in the browser or must download it to Desktop depends on both people's licences, as Learn's licence table explains. If the report is published and refreshed from the file in OneDrive or SharePoint, our refresh failures checklist covers the refresh side, and the Power BI permissions cheat sheet covers sharing in the service.
Do
- Check the version number before anything else.
- Keep shared reports in a SharePoint library every co-author can reach.
- Sign in to Desktop and OneDrive with the same work account.
Don't
- Don't roll Desktop back to a March 2026 or earlier build to fix another problem: you lose saving and sharing to OneDrive and SharePoint.
- Don't expect a personal OneDrive account to work with these features.
